Surgical Center Office Manager

POSITION SUMMARY 3 years experience a must. Also, must be facile with medical billing, MS Word, Excel, Access, Quickbooks, general typing and computer skills. A background check and credit check will be done.

Coordinates activities and provides secretarial support for a multi-faceted surgical center setting. Interacts with employees, patients, and patients’ families with regard to patient related issues. Works with others to provide a team environment.

The Medical Director and Governing Board

PURPOSE:

1. To manage the staff and office by:
a. Updating and keeping in policy.
b. Interviewing and hiring new employees
c. Firing of employees with direction of Medical Director
d. Training the staff on policy and their jobs
e. Monitoring the statistics for the office

2. To ensure a smooth and efficient patient flow
3. To create an environment where patients feel competently serviced and where staff can work together as a team.

JOB DUTIES OF THE OFFICE MANAGER

1.Acts as liaison between Medical Director and staff for routine matters such as time off, sick leave, vacation, schedule changes, policies and procedure questions, special projects etc.

2.Ensures and encourages good communications lines between Medical Director, Doctors offices, and nursing staff.

3.Originates office policies, gets approval from the Medical Director distributes to the staff.

4.Advises staff and Medical Director of all pertinent dates such as seminars, job reviews, job interviews etc.

5.Conducts staff meeting in conjunction with Medical Director

6.Conducts job interviews, hires, and fires personnel in conjunction with Medical Director.

7.Training and supervises new employees for the Tresanti Surgery Center Office. If a staff member is not on post it is your responsibility to see that the vacancy is filled either by yourself or some one you delegate to. Is responsible for the smooth and efficient daily flow of patients.

8.Conducts performance and salary reviews.

9.Updates personnel policy manual as needed.

10.Determine and change personnel assignments and job descriptions as needed.

11.Counsels employees on conduct.

12.Works with Administrative Assistant to ensure physician privileges are up to date and all credentialing requirements are met.

13.Computer problems, adding or deleting documents and personnel within Alteer. Delegating appropriate problems to Technical Support.

14.Filling out Contract paper work and all renewal applications.

15.Ensure Peer Review, selects charts for Quality improvement contacts Dr. Solomon for quarterly review. Scans documents to Computer.

16.Assists with Administrative Assistant surgery log, implant log, filing, patient daily appointment scheduling, making charts, labels, scanning, routing, and checking charts as needed.

17.Ensures adequate office scheduling coordination.

18.Seeks approval for all cash expenditures. Approves of all expenditures by staff through office depot, kinkos, and office credit card.

19.Oversees billing and utimately responsible for it. Ensures billing is completed in a timely manner. Can enter, file and submit bills electronically as needed.

20.Is knowledgeable of the Center’s Debt and Collection.

21.Coordinates and attends Accounts Receivable meeting with Medical Director and Tresanti Billers.

22.Follow up with and monitors Doctors dictation, ensuring operative notes in electronic charts are completed and signed off through checks and balances. Refers chart back to administrative assistant for accuracy, completeness, and timeliness. Compile quarterly report on medical record deficiencies as the Quality Improvement Coordinator

23.Opens and distributes mail as needed.

24.Confirms for manual entry of the statewide health planning and development ambulatory surgery data information. Assists with data entry.

25.Assisting with all aspects of AAAHC review.

26.Hippa privacy officer

27.Responsible for all payroll and banking issues. Deals with accountant for requested information.

28 Responsible for quarterly activity reports to be submitted to the Governing Board.

29. Attends all Governing Board meetings.

30. Works with OR Manager in ordering supplies and Scheduling of OR staff. Assists OR Manager in scheduling required meetings and drills in compliance with State Law. Updates and reviews all Peer Review, and required reports for AAAHC. Oversees and implements necessary studies.

31. Responsible for all communication between the center and the physician's offices with regard to any issue, including, scheduling, completeness of dictations, paperwork and personnel issues.

32. Reviews all legal documents and acts in conjunction with the Medical Director

33. Is responsible for all communication and serves as a liason for all vendors, insurance companies, contracting and general troubleshooting as issues develop.
