Rental Agent
Job Description
Rental Agents are the first point of contact for our customers. You are responsible for providing excellent service to rental customers. The first impression is often by telephone, and sometimes in person. Either way, we expect you to come dressed for work mentally as well as professionally. General knowledge of cars and their operation is often helpful in selling one feature over another. Training is essential as we use special software to prepare rental transactions.
Detailed Work Activities:
advise clients or customers
answer customer or public inquiries, person and by telephone
arrange rental cars on display
use industry terms or concepts
calculate rates for rentals and/or delivery services
collect payment for rentals
clean rooms or work areas
maintain records, reports, or files
demonstrate features of our vehicles, operation of convertible tops, etc.
fill out rental forms
greet customers, guests, visitors, or passengers
process credit card transactions
inspect vehicles for damage, defects, or mechanical failure and report any issues or inconsistencies to management right away
obtain personal information from individuals
use computers to enter, access or retrieve data
manage car inventories and rental office / service area supplies
receive or disburse cash related to payments received
use oral or written communication techniques – bilingual agents are awesome
provide exceptional customer service
rent and subsequently return vehicles to customers
Tasks include:
Reserve vehicles for requested times and keep records of items rented.
Prepare vehicles for display, or for purchase or rental – includes washing and vacuuming.
Inspect and adjust rental vehicles to meet needs of customer.
Explain rental fees, policies and procedures.
Compute charges for rental and receive payments.
Provide information about rental items, such as availability, operation or description.
Prepare rental forms, obtaining customer signature and other information, such as required licenses and credentials.
Answer telephones to provide information and reserve cars.
Greet customers and discuss the type, quality and quantity of vehicles sought for rental.
Advise customers on use and care of vehicles.
Analyze and prepare parking ticket / Fastrak ticket data on a daily basis.
Analyze overdue vehicles and contact overdue renters in an effort to keep accurate computer records for each vehicle.
Deliver and pick up cars as directed by your manager – corporate accounts and hotels.
Perform other tasks, as assigned.
The following knowledge is required:
Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting rental qualification standards for services, and evaluation of customer satisfaction.
Knowledge of principles and methods for showing, promoting, and selling products or services. This includes marketing strategy and tactics, product demonstration, sales techniques, and sales control systems.
Knowledge of simple teamwork and organizational details. Paying particular attention to our company website and data presented therein.
Knowledge of corporate structure including but not limited to hours of operation, locations, types of vehicles in the fleet, mechanical specifications of each car class, etc.
