REGISTRATION/HOUSING MANAGER

JOB SUMMARY:
The primary role of the Registration Manager is to oversee all elements of the company’s in-house registration system. The Registration Manager will be responsible for managing each custom registration program to suit the specific needs of our multiple clients. He/She will oversee the daily data management of the registration site(s), including build elements, timeline, reporting, graphics, and event content. The Registration Manager must offer exceptional customer service to all program attendees, Clients and all internal team members. The RM will work closely with the Program and/or Account Managers, reporting to the company’s Director of Registration.

KEY REQUIREMENTS AND RESPONSIBILITIES:

·Data Management: Execute Quality Control measures (rooming list vs. database vs. air vs. confirmation letters vs. name badges, etc.), Making certain data flows through registration system and client reporting flawlessly; Quality check the online reports daily

·Reporting: Implement Master, Housing, Activities, Session, Travel and/or other Adhoc reports within our Registration Platform Dashboard;

·Customer Service: Day to day client communication and monitoring of call center 800 lines; Handling all incoming attendee calls and inquiries related to registration, housing, transportation, tours and activities

·Housing Management: Maintain deadlines for hotel or activity attrition and miscellaneous contractual minimums and flag areas of concern with Program Manager and Director of Registration; Manage the hotel group reservations relationship and establish positive working relations

·Collateral: design and produce name badges, invitation email blasts, confirmation letters, recreation/tour slips, and miscellaneous on site materials (attendee list, departure notice, etc.)

·24/7 Report Access: Educate client and review the various types of reporting offered, the frequency (24/7 online) and generate the necessary weekly reports detailing current attendee, payment, travel, activities and/or hotel pick-up status

·In communication with our company’s Registration platform to keep updated and competent with all new features and functions

·On site: Oversee set up and staff training for the registration and hospitality areas. Coordinate all related equipment, phones, computers, printers; Distribute materials, badging, reporting, confirm attendee participation and provide general information and assistance in a concierge format




EDUCATION AND QUALIFYING GUIDELINES
·A College Degree

·Minimum of three years registration experience, conference and meeting management

·Must possess superior customer service skills and have the capability and professionalism to present ideas and solutions to in-house and Corporate Executive level clients

·Proficient in Excel, Word; manipulating graphics using Adobe Photoshop/Illustrator a plus

·A desire to work in an exciting, flexible, dynamic environment

·Ability and passion to exceed tight deadlines, while maintaining excellence in details and performance

·Organized, self-motivated, adaptive, realistic to timelines and client requests

·Maintaining a good attitude and diplomacy while working under pressure

·A keen eye to detail with a background in graphics and related images

·Experience in hotel industry, registration/Lenos, reservations and travel, a plus
