Contra Costa Child Care Council is a private, non-profit corporation governed by a volunteer Board of Directors. Through its area offices in Richmond, Concord, Antioch and Brentwood, the Council offers information, programs and services designed to support and empower parents and child care providers. The Council also educates decision makers and the general public about child care trends and issues.

SALARY: $1,444.29 per pay period (based on 2 pay periods per month) DOE

GENERAL RESPONSIBILITIES: The Administrative Assistant is responsible for the efficient operation of Administrative office, providing support to the Board of Directors and to the Council’s Administrative Staff.
DIRECT SUPERVISORY RESPONSIBILITIES: Receptionist and any additional administrative support staff.
SPECIFIC DUTIES/RESPONSIBILITIES:
A. Staff Supervision
1. Hire, supervise and evaluate the Receptionist(s), and any additional administrative support staff.
B. Board Support
Work with the Executive Director to:
1. Ensure the accurate and timely processing of all materials for the Board of Directors.
2. Attend and keep accurate written records of all Board Meetings.
3. Schedule and coordinate Board meetings and Board Retreats.
C. Administration/Office Management
1. Maintain Administrative Procedures Manual
2. Assist Deputy Director of Operations with Facilities Management
3. Ensure adequate Front Desk coverage.
4. Research purchase and maintenance options for new office machines.
D. Provide Support to Administrative Staff
1. Sort and distribute Executive staff’s mail.
2. Establish and maintain procedures for administrative support workflow.
3. Ensure secretarial support for Administrative staff.
4. Track the processing of funding contracts, including acquisition of signatures, notarization, and distribution of copies.
5. Coordinate travel arrangements for Administrative staff.
Qualifications:
· A.A. degree or equivalent, B.A. preferred.
· Minimum of two years work experience in non-profit sector.
· Minimum of two years experience in support staff position.
· Minimum of two years supervisory experience.
· Strong oral and written communication skills.
· Coordination and organizational skills.
· Excellent typing and computer skills.
· Ability to relate well with parents, providers, and coworkers.
· Ability to work under pressure and meet deadlines.
