Reports to Event Services Manager with responsibilities to Sales team
PRE-SHOW
• Attend Rollover Meeting as required
• Confirm scope of potential project
• Participate in development of Event Brief
• Receive Event Brief from Account Executives
• Meet with Account Executive to review scope and budget parameters
• Determine time frames for event (schedules)
• Determine what services will be required
• Determine estimate due date
VENDOR QUOTES
• Choose potential service providers
• List service requirements in detail (i.e. number of install days and hours, dismantle days and hours, quantity of service)
• Indicate response deadlines for suppliers
• Send RFQ to potential suppliers
• Review RFQ Response and make recommendations
• Contact Service Providers to negotiate costs and terms
• Notify service providers of the services they were awarded.
• Enter new service providers information into JDE if necessary
• Request a copy of each service providers insurance certificate
ESTIMATES
• Review exhibitor kit information
• Forward move-in schedule to logistics
• Create estimate in JDE based on vendor quotes
• Review with sales
• Make necessary changes
• Add new version in project estimate
• Submit for re-approval
• Turn over to sales
PERSONNEL MANAGEMENT
• Verify supervisor assignment for event based on supervisor schedule
• Enter supervisor travel schedule into IGL based on confirmed Install/Dismantle dates
• Arrange and book supervisor travel online through IGL with travel department
• Approve supervisor travel
• Prepare supervision itineraries and document packets
