Summary: Develops, prioritizes and implements events and programs for a corporation that manages high-profile outdoor public access spaces. There is more than one site managed by the company. Oversee condition of Public Space.
Duties:
Operations
• Attends appropriate meetings relating to events. Creates agenda for meetings. Inform staff of upcoming events and logistics.
• Meet and supervise Park staff (security, janitors, engineers, event/house manager, etc.)
• Determines requirements for events, including permits, insurance and support staff, distributes schedules/timelines and develops event notifications. Schedule staff as necessary. Distribute event notifications.
• Attend meetings with clients to obtain pertinent information regarding event
• Provides information to event clients regarding rules, event limitations, staffing needs and liability considerations.
• Determines overall staff needs and develops an event staff by recruiting, interviewing, hiring and training event staff if necessary.
• Schedule Technical Staff for events and equipment maintenance
• Coordinate event deliveries (tents, etc.), load in, set up and load out
• Coordinate stage builds and special set ups (hanging banners, etc.)
• Maintain production equipment inventories (sound system, signage, etc.) and advise on purchases and updates of production equipment.
• Utilizes neighborhood social and emergency services for problem areas
• Interfaces with DPW and DPT, regarding maintenance issues, i.e. garbage pick-up, towing service and news rack removal
• Monitors the condition of Square/Park on a daily basis. Specific areas of concern are janitorial, maintenance, security and safety.
• Reports on a regular basis concerning property condition to the Director of Operations.
• Assists in arranging for all work to be accomplished in order to keep the property at contracted condition level
• Create budget for events. Provides invoice (based on budget) for services to clients and responsible for receipt of payment prior to event. Ensure that event expenses are within budget for event.
• Follow event guidelines.
• Coordinates communication system (8-channel radios and cellular phones).
• Determines appropriates responses to problems and emergencies.
• Under the direction of the Director of Operations interfaces with the police and fire departments and other contracted staff regarding traffic plans, crowd control and fire issues.
• Event Management
Financial/Administrative
• Writes monthly narrative and submits to the Director of Finance and Administration.
• Prepares event reports.
• Assists in creating budget
• Maintains event files
• Maintains an ongoing events calendar and a weekly events calendar for the Union Square Park and distribute.
• Work with staff to maintain/update event web site.
Programming:
• Submits series participants for approval to President/CEO for committee approval.
• Follow guidelines for programming
• Assist with obtaining support for performance series
• Work with staff on marketing and Promotion of Performance Series
Other duties may be assigned.
Qualifications:
Must be able to exercise considerable judgment and discretion in completing assignments. Strong commitment to serving the public.
Skills: Ability to handle multiple tasks, Attention to details. Detail oriented administrative and office skills, e.g. telephone protocol, strong writing and computer and internet proficiency. Knowledge of Microsoft Office. Self-Starter. Excellent people and communication skills. Ability to deal with multiple tasks in a fast-paced organization, work as part of the team yet independently organize, prioritize projects and take initiative.
