Position Summary:
Position will work within the event management team managing the logistical requirements of the project. Position will interface directly with the conference venue and all 3rd party suppliers.
Essential Responsibilities:
* Negotiation of contractual agreements with event venues and 3rd party vendors
* Event budget development and management
* Event timeline development and management
* Manage 3rd party vendor RFP process
* Manage pre show communications with vendors as well as manage vendor on site
* Management of vendor payment requirements
* Food and beverage menu development and on site food and beverage management
* Manage pre show venue communications and specifications for:
o Meeting and function space set up
o Electrical, internet, and telecommunications
o Labor requirements
* Cost savings and avoidance practices
* Oversees the onsite execution of the event
* Post event 3rd party supplier billing reconciliation and post event best practices review
Essential Knowledge, Skills, and Abilities:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required:
* Strong Project Management skills are needed to manage both internal and external requirements
* Strong written and verbal communication skills
* Strong leadership skills to manage the project teams
* Experience with developing and managing a detailed event budget
* 3-5 years direct experience with event management in the areas of logistics, exhibits and registration/housing
* Excellent customer service skills
* Detail oriented, strong organizational skills
* Pro-active and creative thinker; problem solving and ability to “think on your feet”
* Consultative approach to questions, concerns and issues
* Must have experience managing client projects with over 500 attendees
* Must be a team player
* Proficient in Microsoft Word, Microsoft Excel, Microsoft Outlook, Lotus Notes, Internet Explorer, Microsoft Project
Non-essential Knowledge, Skills, and Abilities:
* Previous JD Edwards experience a plus
Decision Making & Supervisory Responsibilities:
On a regular and continuous basis, exercises administrative judgment and assumes responsibility for decisions, consequences, and results having an impact on people, costs, and/or quality of service within the functional area. Will oversee or coordinate the work of others.
Work Environment:
Candidate will work primarily in an office environment with heavy emphasis on computer and phone work. Position will involve occasional travel (including International) to client offices and event locations such as hotel and convention centers. Physical Demands:
Candidate should be available to travel by car to local events and client meetings and by air for domestic and/or international business. On site there could be extended work days with long periods of walking, standing and/or sitting.
