SUMMARY
This part-time position is responsible for administrative support for the Center for Learning and Teaching (CLT) and for support functions relating to the Center Director and Associate Director’s work, as well as administrative coordination for the Center for Informal Learning and Schools (CILS) and the NISE Network annual meeting. The Administrative Coordinator reports to the Associate Director. The Administrative Coordinator also works closely with CLT program participants and other museum staff. This position requires a highly organized person with excellent oral and written skills, the ability to work independently and to exercise sound judgement and discretion.

ESSENTIAL FUNCTIONS
Administrative assistance to the CLT Director and Associate Director (approx. 50%) including:
• Coordinate meetings for Director and Associate Director.
• Serve as CLT point-person, responding to internal and external queries.
• Oversee CLT grant-related internal communications and route information to appropriate recipients.
• Maintain Center files.
• Maintain, track, schedule and confirm classroom space use for the museum.
• Schedule appointments, maintain calendar, and keep track of Director’s daily schedule.
• Answer phones; open, prioritize and route mail. Respond to routine inquiries.
• Order office supplies, books and publications. Maintain supply of press materials, program descriptions and office forms.
• Other duties as assigned.

Administrative coordination for CILS programs and NISE Network annual meeting (approx 30%):
• Orchestrate travel, schedules, lodging , etc. for CILS and NISE Network meeting participants.
• Support CILS Program Manager in logistics related to CILS workshops and institutes.
• Coordinate CILS database, mailings, and recruitment.
• Other duties as assigned.

QUALIFICATIONS
· Word processing, literate in Word, Filemaker, and Excel (Macintosh and PC).
· Minimum 5 year prior administrative experience.
· Excellent verbal and written communication skills.
· Extremely tactful and diplomatic in dealing with people.
· Ability to set up and maintain administrative systems and office organization.
· Highly organized and detail-oriented; able to prioritize.
· Ability to work effectively in a fast-paced environment.
· Ability to maintain confidentiality.
· Ability to navigate the Internet.
· Ability to move from place to place; utilize a computer terminal and general office equipment; lift and carry up to 25 pounds short distances.
