Position: Full time
Reports to: Executive Director

Slide Ranch Background: Founded in 1970, Slide Ranch is a non-profit environmental education center. Overlooking the Pacific Ocean just north of San Francisco within the Golden Gate National Recreation Area (GGNRA) between Muir Beach and Stinson Beach, the facility sits on a 134-acre historic dairy farm that is over 100 years old. Organic gardens, goats, sheep, and chickens, along with the coastal wild lands and tide-pools, provide an ideal outdoor setting for teaching environmental awareness.

Slide Ranch teaches children and families about the sources of food that nourish us and an environmental awareness of our planet’s limited resources. Slide Ranch is on the forefront of a growing national movement that seeks to increase understanding about sustainable farming and the role it plays in making locally grown, healthy food accessible to children at their schools and in their communities.

Position Summary: The Administrative Assistant reports to the Executive Director and coordinates with key staff to handle all general administrative functions of Slide Ranch. The Administrative Assistant is most often the first point of telephone contact between the public and Slide Ranch. The majority of the work will be processing program applications and donor gifts, and also involves a wide variety of other tasks and interaction with all Slide Ranch staff.

General Office Administration:
· Responsible for answering phone calls, taking clear and accurate phone messages and directing calls to appropriate staff in a timely manner.
· Oversees maintenance of phone system, voicemail, copier, fax equipment and mail lists.
· Maintains the office environment in clean, organized and user friendly manner.
· Picks up mail and routes incoming mail daily.
· Oversees office and merchandise supply orders.
· Organizes and maintains paper and electronic filing systems.
· Orients all staff to office equipment.
· Creates and maintains office procedures.

Program Administrative Responsibilities:
· Responds to public inquiries about program schedule, pricing and availability; processes all program applications.
· In coordination with Program staff, maintains program, site rental and events calendar and scheduling-related logistics.
· Manages and updates program database (FileMaker Pro) including entry of completed program statistics; prepares database reports as needed.
· Assists with development of program descriptions, flyers and brochures.
· Organizes tasks for office volunteers and support teachers needed.

Development Administrative Responsibilities:
· Processes donor gifts and grants; updates donor database (Exceed); prepares reports as needed.
· Maintains donor paper files.
· Assists development staff with fundraising event logistics planning and implementation.
· Assists with production of mailings throughout the year.
· Helps with production of annual report and newsletters.

Other Responsibilities:
· Collaborates regularly with Executive Director and serves as liaison with Program Director, Development staff, Finance Director and Director of Ranch Operations.
· Depending on experience, may have a future role in updating website once in-house updating becomes possible
· Assists with preparation of reports, documents and packets for the Board of Directors Meetings and committee meetings.

Qualifications:
· Demonstrated customer service experience.
· Outstanding oral and written communication skills.
· Willingness to work with sense of humor in small workspace.
· Computer proficiency including word processing, Microsoft Office Suite, FileMaker Pro, Exceed or equivalent database experience required.
· Experience with website maintenance and updating.
· Proven organizational skills, ability to prioritize, juggle multiple tasks, and organize time effectively.
· High attention to detail without losing sight of bigger picture.
· High school diploma and 3 to 5 years office administrative experience required. College degree a plus.
